My group is hoping to schedule an event several months from now. Should we complete the Community Room Use Request Form anyway?

Please do. You can access and complete the Community Room Use Request Form either as a digital form you can complete online, or using our updated form (a fillable PDF), which you can print and bring in to submit for review, once it’s complete. Please note that the Community Room Use Request Form includes a form outlining the Library’s expectations regarding health and safety as the COVID-19 pandemic continues.

If you don’t have a printer and prefer to complete the form on paper, please call the library at 856.665.5959 ext. 3 to request a copy. You’ll be able to pick it up the following business day.

Once you have completed the form, please either drop it off at the Library or put it in the mail (our address is on the form) for the Program & Outreach Coordinator to review. We will be in touch within five business days from the day we receive it, to inform you whether or not your request has been approved.

Room availability will be subject to change based on national, state, and local public health guidance, and based on Library programming needs. We appreciate your understanding and flexibility.

What can we expect when we use the Community Room?

Groups planning to use the Community Room must agree to abide by the Library’s policies regarding public health and safety. These are outlined in detail in the Community Room Use Expectations Form, which can be found on pp.4-5 of the Room Use application.

The Library’s policies regarding public health and safety include but aren’t limited to: wearing masks, physical distancing, and maximum number of attendees/participants. The maximum number of people permitted to be in the Community Room at once is 50. This number includes performers, guest speakers, and participants.

The person or group using the Community Room will be responsible for wiping down the tables, chairs, and other equipment used during their event. The Library is requiring a 30 to 60-minute buffer between meetings/events held in the Community Room for cleaning and maximizing the exchange of air.

Any person planning to attend your event or meeting must not experience or display COVID-19 symptoms such as a fever, chills, coughing, shortness of breath, and body aches.

For contact tracing purposes, if any attendees experience COVID-19 symptoms OR are diagnosed with COVID-19 within 14 days following the event, the event leader must inform Program and Outreach Coordinator, Alison Bozic by phone or email (856.665.5959 ext. 4 or abozic@pennsaukenlibrary.org).
